Office Administrator. This is an excellent opportunity for someone who thrives in a fast-paced construction office environment and brings a strong background in administrative support and bookkeeping.
The successful candidate will play a key role in ensuring smooth day-to-day operations of the office, supporting project teams, and maintaining accurate financial records using QuickBooks.
What You’ll Be Doing: As Office Administrator, you’ll be the go-to person for all administrative and bookkeeping tasks, helping keep projects and operations running smoothly. You'll coordinate with internal teams, subcontractors, and suppliers, while ensuring records and documentation are always up to date.
Key Responsibilities:
- Provide general administrative support to project managers and site teams.
- Maintain organized digital and paper filing systems for project documentation.
- Prepare and process invoices, purchase orders, and expense reports.
- Perform bookkeeping duties using QuickBooks, including accounts payable/receivable, payroll support, and bank reconciliations.
- Coordinate office supplies, equipment, and vendor relationships.
- Track project timelines, deadlines, and communication logs.
- Assist with permit applications and project compliance documentation.
- Support HR and onboarding processes for new hires.
- Help manage schedules, meeting coordination, and internal communications.
What We’re Looking For:
- 2–5 years of administrative experience, preferably in construction or a related industry.
- Proficiency in QuickBooks is a must.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication abilities.
- Comfortable working in a dynamic, fast-paced environment.
- Proficient in MS Office Suite (Word, Excel, Outlook).
- Experience with construction management software (e.g., Procore, Buildertrend) is an asset.
- Ability to work independently and maintain confidentiality.
- High school diploma required; post-secondary education in business administration or accounting is an asset.
