Office Administrator. This is a fantastic opportunity for an administrative professional who thrives in a construction and development environment and has hands-on experience with QuickBooks.
You’ll be joining a dynamic, collaborative team focused on delivering high-quality residential and commercial developments across the Lower Mainland. The successful candidate will play a key role in ensuring the smooth daily operations of the office and supporting accounting, project coordination, and administrative functions.
What You’ll Be Doing: In this role, you’ll be the administrative backbone of the office—handling bookkeeping tasks, supporting project teams, and helping maintain an efficient, organized, and compliant workplace.
Key Responsibilities:
- Provide daily administrative support to project managers, accounting staff, and leadership.
- Manage bookkeeping tasks in QuickBooks, including accounts payable/receivable, bank reconciliations, and payroll assistance.
- Prepare and process invoices, expense reports, and purchase orders.
- Organize and maintain digital and physical filing systems for project and company documentation.
- Coordinate office operations, including ordering supplies and managing vendor relationships.
- Assist with tracking permits, compliance documents, and construction-related reporting.
- Support internal communications, meeting scheduling, and calendar management.
- Help onboard new staff and manage employee records.
- Liaise with subcontractors, consultants, and clients as needed.
What We’re Looking For:
- 2–5 years of office administration experience, ideally in a construction or real estate development environment.
- Proficiency in QuickBooks is required.
- Strong organizational and multitasking abilities with attention to detail.
- Excellent verbal and written communication skills.
- Ability to manage confidential information with discretion.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel).
- Experience with construction management software (e.g., Procore, Buildertrend) is an asset.
- Positive, proactive attitude and the ability to work independently and collaboratively.
- Post-secondary education in business administration, accounting, or related field is an asset.
